Welcoming you to the team

The turnkey and offshore projects division is responsible for project execution within the group. This department coordinates and develops project management disciplines and supports project execution departments with planning and document control services, as well as appropriate processes and systems. The project document controller is assigned to one or more projects and reports to the corresponding project manager within the project organization (with the possibility of assignment to other departments or portfolios). The team is spread across multiple sites and can support ongoing execution activities in various plants and sites within the PWR-T group.

 

Getting a Good Start

The Document Controller is part of the Project Support Team and contributes to the overall project execution. The matrix organization of project management requires good communication and information flow between vertical and horizontal axes. You will provide document control services to projects, including document processing, quality control, archiving, and distribution of project documentation in accordance with Nexans standards and contractual requirements Your main tasks will include:

Overall responsibility for the document processing process in the project, quality control, distribution, and archiving of project documentation (including supplier and subcontractor documentation, comments, and incoming documentation) in accordance with:

Ø  Contractual obligations

Ø  Client expectations

Ø  Internal procedures and project model

 

Specific responsibilities:

 

Ø  Establishing complex projects.

Ø  Responsible for ensuring that the document handling processes towards client, subcontractors and suppliers is compliant and supporting contractual obligations and requirements.

Ø  Establish good working relationship in the beginning of a project and ensure that it is maintained throughout the life cycle.

Ø  Perform the work according to Nexans Management System (Project Model)

Ø  Responsible for quality control of project documentation

Ø  Responsible for archiving and distribution of all types of project documentation to/from:

o    subcontractors, suppliers and/or Client.

Ø  Establish, monitor, and update project registers as needed, particularly:
Master Document Register (MDR)
Supplier Master Document Registers (SMDR) and Subcontractor Master Document Registers (SCMDR).

Ø  Responsible for reporting document status and deviations, eg. KPI reporting, within the project and/or portfolio.

Ø  Establish and present document requirements in Contract review and Kick-off meeting at project start-up (as required).

Ø  Establish and present S/SC document requirements in Kick-off meeting with suppliers and subcontractors.

Ø  Present requirements and provide training for document controller functions for subcontractors and suppliers.

Ø  Support document handling in tender projects and internal projects, if applicable.

Ø  Train and support new DC team members.

Ø  Perform LCI coordination, if applicable.

Your Profile:

·         Degree and experience in document management.

·         Experience with electronic document management systems.

·         Proficiency in Word, Adobe Acrobat, and Outlook, with basic knowledge of Excel and PowerPoint.

·         Proficiency in spoken and written English.
